SugarCRM version 7.0 introduces a variety of changes in how users can search for information in the system. Searching features are changed at every level in the system.

Global Search

Global search continues to be available on the navigation bar, and maintains most of its 6.x functionality. New in version 7.0, users can select which modules to include when doing a global search. This makes it easier to streamline results when using a search term that may get many hits. Global search will still search all modules (configured for search by administrator) by default, but users can decide on a search-by-search basis to restrict the list to one or more modules when needed.

Module Search

Basic and Advanced Searches have been replaced with a single module search interface in 7.x. This search and filtering tool takes up less space on screen and enables all of the same functionality in one tool.

The first change you may notice with the new search tool is that SugarCRM will start searching as you type in the search bar. This search will be looking in the “name” field for the module. It continues to search at the beginning of the name only, so you should still use the wildcard character % in front of your search term to search throughout the name.

Searching by any field other than name is done through filters. Click the filter dropdown, and you will see a list of pre-built filters. While these may vary slightly by module, you should expect to see filters such as My Favorites, Assigned to Me, Recently Created, and Recently Viewed. Select a filter to apply it to the list shown.

To search by any other criteria than name and existing filters, select Create Filter from the filter dropdown list.

In the Create Filter interface, use the dropdown list to select the field that you would like to search. (The list of available fields is configurable by the administrator.) Depending on the type of field, various modifiers will appear, such as “is any of” or “exactly matches,” along with a space for you to enter your search term. You can search multiple fields, clicking the plus (+) icon to add as many fields as desired. SugarCRM will update the displayed list as you make your selections.

If you would like to save your search as a filter to use again in the future, enter a name for the filter and click the Save button.

Subpanel Search

SugarCRM version 7.0 also introduces the capability to search within subpanels. When the subpanel view is displayed, type into the search bar to search by name across all subpanels.

You can also use filtering with subpanels. First, select the subpanel you would like to filter; the display will update so only that particular subpanel is displayed. Next, apply any existing filter from that module or create a new filter to do a custom search. As with module search, the listed results will update as you select your search criteria and type your search terms.

Activity Stream Filtering

The Activity Stream, at any level, can be filtered based on the type of post. Custom filtering and searching are not available at this time.
